Simple AI usage policy

Use this as a starting point for employee AI guidance. Review it with the right internal owner before relying on it as formal policy.

Purpose

We use AI tools to support work, improve first drafts, summarize information, and reduce repetitive tasks. AI does not replace employee judgment, accountability, or required review.

Approved tools

Employees may use only AI tools approved by the business for work tasks. Personal AI accounts should not be used for private company, customer, employee, legal, financial, or confidential information.

Information boundaries

  • Do not paste customer personal information unless the tool and use case are approved.
  • Do not paste employee records, payroll, health, hiring, or disciplinary information.
  • Do not paste passwords, API keys, security details, or system exports.
  • Do not paste confidential contracts, legal documents, financial reports, or unreleased plans unless approved.

Human review

AI output must be reviewed by a responsible employee before it is sent to customers, published, used in decisions, or added to official records.

Accountability

The employee using AI remains responsible for checking accuracy, tone, privacy, and business fit. If a use case feels unclear or risky, ask a manager before using AI.
