For routine internal coordination, AI can create a first action-draft from approved notes. A meeting owner and relevant attendees still confirm every decision, owner, due date, dependency, and external commitment.
Use this scenario when
- The meeting is routine internal coordination with a reliable approved note or recording source.
- A named meeting owner or relevant attendees can confirm actions before the draft is shared.
- The first test can avoid sensitive people, legal, financial, health, or confidential material.
- The aim is clearer handoffs and less repeated clarification, not monitoring participation or increasing meeting volume.
Do not use this scenario yet when
- The discussion includes people matters, compensation, discipline, health, legal advice, private customer information, or confidential negotiations.
- The meeting creates an external commitment, contract, budget decision, or promise that cannot be confirmed in the approved system.
- No person can confirm what was decided, assigned, or left open.
- The team is using summaries to score attendance, engagement, or individual performance.

Test five to ten routine meetings. Measure time, missed actions, clarification requests, rework, and the aggregate team signal.
Record evidenceWhat a good result looks like
A good result is not a longer action list. It is a reviewed record where decisions, owners, dates, and unresolved questions are clearer; follow-up does not spill into after-hours cleanup; and people spend less time reconstructing what happened. Stop or narrow the test if the draft invents commitments, hides disagreement, exposes sensitive information, or creates pressure to treat a tentative note as a final decision.
